Soft Services Supervisor – Facilities Management<br>Soft Services Supervisor is responsible for provision of soft services as well as support services to the<br>University campuses and for managing a team of Cleaning Supervisors and onsite cleaning teams.<br>Operational Responsibilities<br>Soft Services:<br>• Oversee contract services for campus waste, trash management and recyclable removal from<br>buildings .<br>• Work closely with the onsite contracting cleaning teams to ensure that the contract is being delivered<br>in a proper manner.<br>• Supervise waste removals, general maintenance, periodic cleaning, deliveries and site emergencies<br>and ensure that waste strategy expectations are met.<br>• Supervise the provision of professional and cost effective custodial services, to include overseeing<br>contract for building exterior and window washing services, cleaning of upholstery, cleaning and repair<br>of carpets and rugs- in all academic, administrative, residential, and common-use facilities on campus.<br>• Supervise the care and maintenance of University campus grounds and inspect the work of service<br>contractors to ensure compliance with KU standards and Health and Safety regulations.<br>• Administer Procurement for soft services related (PR, Quotations, Execution, Receiving, Reports,<br>Finances, etc…);<br>• Carry out daily site inspections and monitor the SLAs &amp; KPIs for the soft services.<br>Security:<br>• Manage safe custody of keys in all buildings, including making duplication, collecting documentation<br>needed and creating a key file for all sites.<br>• Ensure safety and securiity of offices, personal belongings of employees and office and laboratory<br>equipments.<br>• Manage monitoring of CCTV, Access control and intruder alerts and report incidents, if any<br>• Prepare regular reports related to security incidents (accidents, theft, etc…)<br>• Maintain a customer-friendly service adhering to the agreed code of conduct.<br>• Review requirements for surveillance system and coordinate with Manager FM Operations for maintenance upkeep and/or upgrade<br>• Support other services as per Department requirements<br>General:<br>• Ensure that all work is carried out in a safe manner and in accordance with the relevant Health and<br>Safety Regulations including Risk Assessments &amp; Method Statements.<br>• Supervise the daily activities of team. Ensure optimal use of manpower and resources including sub-contractors and their staff.<br>• Evaluate service providers’ performance and provide feedback to the Manager<br>• Carry out Auditing of services, standards, and compliance through building inspections and daily<br>maintenance<br>• Adhere to the University’s information security and confidentiality policies and procedures, and<br>report breaches or other security risks accordingly<br>• Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as<br>and when needed<br>• Perform any other tasks assigned by the Line Manager<br>Supervisory Responsibilities<br> Provide coaching, guidance and mentoring as required to enhance the internal capabilities of the<br>team and ensure the achievement of established objectives and plans<br> Recommend appropriate training courses as per the pre-determined training needs, evaluate their<br>effectiveness, and monitor their results<br> Carry out performance appraisals for subordinates according to planned schedules and<br>recommend necessary actions as per the applied practices<br> Conduct periodic meetings with subordinates to ensure that priorities are clear and workflow is<br>running smoothly<br> Follow-up on employees’ administrative affairs such as vacations, leaves and other administrative<br>and related affairs
