<p>The role of Senior Leasing Officer – Commercial involves providing support to the Leasing Manager in various leasing-related activities for the commercial portfolio. This includes managing tenants’ lease agreements, overseeing renewals, and attracting new tenants. The primary responsibilities include assisting in drafting leasing proposal letters, heads of terms, and executing lease agreements in collaboration with the leasing manager, legal team, and portfolio management team. Additionally, the Senior Leasing Officer will be responsible for efficient administrative coordination across the Leasing and Property Management Departments, as well as with business partners, colleagues, clients, and other stakeholders/owners as necessary.</p><p><strong><em>Roles &amp; Responsibilities:</em></strong></p><ul><li>Taking ownership of the Yardi CRM system, as required, for the commercial office portfolio, ensuring all new leases, modifications, renewals, terminations are dealt with in a timely manner</li><li>Addressing leasing, assignment, variation and renewal transactions and coordinating with Head of Department.</li><li>Sending out lease renewal notices and assisting the leasing manager in lease renewal negotiations, where required.</li><li>Maintaining the leasing tracker schedules for each property, for presentation to Aldar portfolio management every 2 weeks.</li></ul><p><strong><em>Internal Processes:</em></strong></p><ul><li>Tracking, monitoring and assisting in updates that are needed in the system.</li><li>Consolidating and maintaining accurate, up to date asset data and client information.</li><li>Creating presentations and collecting all relevant information when and as needed.</li><li>Assisting with preparing SPA’s for any sold commercial units and collecting the relevant due diligence documentation.</li><li>Coordinating with property management for documents and approvals needed to facilitate the leasing process, checking &amp; following up the status of the units and availability, lease documentation, contract issuance &amp; details and other related information.</li><li>Creating leads in the system as needed, forwarding or assigning each inquiry to the senior leasing executive and/ manager as required.</li><li>Updating the leasing &amp; sales availability list and prices &amp; ensure data is inputted accurately and coordinates with call center and marketing departments accordingly for any marketing campaigns.</li><li>To provide effective and efficient administration assistance to the Commercial Sales &amp; Leasing Manager</li><li>Coordinating with marketing department on commercial marketing initiatives, as required.</li><li>Coordinating with Asset Managers and Facility Management Team on required tasks</li><li>Collecting all pertinent data and information needed for the preparation of the monthly reports, coordinating with all the leasing executives/manager, marketing department and property management of each property to get the information needed.</li></ul><p><strong><em>Reporting:</em></strong></p><ul><li>Coordinating with the accounts department for the payments (rental, security deposit and assistance fee) received thru wire transfer, process of commission invoices if any and matching of the records of income for leasing and resale, tracking the deals, income posting &amp; coordinating any reversals needed if any.</li><li>Ensures income is posted for every closed deal by coordinating with property management and accounts departments.</li><li>Sending updated occupancy report, transaction and accrual reports on weekly basis to Provis accounts.</li><li>Updating leasing and sales deals reports on a monthly basis and sharing with operations, accounts department, document control and legal team to finalize deals and invoicing.</li></ul><p><strong><em>Customer:</em></strong></p><ul><li>Checking &amp; addressing each inquiry received from i.e. mail inboxes, call center, walk-ins, and calls. Providing property information, availability schedules and prices, where appropriate, as a prompt response for commercial leasing and sales inquiries.</li><li>Scheduling viewings of the properties and answering further inquiries by clients and follow up for updates as needed.</li><li>Organizing the filing and due diligence documentation related to of all leased units i.e. offer letter, contract copy, POA etc.</li><li>Conduct daily checking of the inquiries for leasing and sales from the system to ensure customers’ inquiries are addressed accordingly within 24 hours.</li><li>Ensuring an up to date record of all agency agreements with brokers is established and maintained.</li><li>Assist in all telephone inquiries or calls directed to the department particularly in staff absence. Or assist in queries on behalf of colleagues when they are out of the office, take messages and ensure business associates, customers/clients are called back promptly.</li></ul><p><strong><em>Requirements:</em></strong></p><ul><li>Should have 5+ years related experience in real estate office leasing of a large, diverse portfolio.</li><li>Extensive ‘hands on’ knowledge of Yardi CRM system, lease negotiations, lease documentation and processes.</li><li>Experience with a sizeable corporate preferred.</li><li>Experience with Yardi CRM is highly desirable.</li><li>Should have excellent written and communication skills</li><li>Excellent computer skills</li></ul>
