Job Purpose / Objective

Responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner to the respective department.

Key Responsibilities / Accountabilities

  • Perform secretarial duties for the Department.
  • Assist Head of Department with special projects as assigned.
  • Maintain meeting calendar, arrange meetings, and schedule visitors.
  • Answer all telephone calls; refer to appropriate staff/individuals, if required.
  • Make travel arrangements.
  • Receive and assists visitors.
  • Coordinate with Departmental Secretaries regarding Inter-departmental notifications.
  • Follow up on various department tasks and keep track of it.
  • Assist department staff in applying of leaves/holidays, submitting Monthly timesheet on time to HR.
  • Prepare request for screen access, email and internet, β€œ0” access and system enhancement needed by the staff.
  • Manage and request office supplies through online application and follow up on approval process and purchase order.
  • Responsible for incoming and outgoing of documents, keeping the files in safe and for future reference.
  • Responsible for sending office job order and follow up until completion of job.
  • Participate in person-centered care initiatives undertaken by HMG.
  • Enrich patient experience with compassion, respect and dignity.
  • Perform other applicable task and duties assigned within the realm of his knowledge, skill and abilities.

Education/ Professional Qualification
1. Educational : College graduate or Diploma
2. Professional : Business Administration, Secretarial Management

Experience
1. Four (4) years of experience in the same field; Hospital experience preferred.
