Job Brief:

Manage the front desk on a daily basis and perform a variety of administrative and clerical tasks as assigned. Responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. This oftentimes includes performing ad hoc administrative duties as needed.

Essential Duties and Responsibilities:

  • Ensure the correct documentation for processing personnel medical insurance.
  • Monitor of employees’ reimbursement claims.
  • Prepare payment orders and invoices for the suppliers.
  • Prepare reports and maintaining appropriate filing system.
  • Monitor daily attendance of all employees.
  • Sort and distribute incoming correspondence to the concerned departments and vice versa.
  • Maintain high level of confidentiality and discretion of all documents.
  • Handle incoming and outgoing telephone calls and providing information to callers and/or relaying messages.
  • Greeting and welcoming guests and providing them with a positive first impression of the organization.
  • Complying with procedures, rules and regulations on maintaining a safe and clean reception area.
  • Providing administrative and clerical support and preparing letters and documents to the management as needed.
  • Coordinate, arrange and set up schedules of meetings and interviews.

Knowledge, Skills and Abilities:

  • Proficiency in MS Office Suite
  • Answer and direct phone calls in a polite and friendly manner
  • Demonstrated verbal and written communication
  • Process and detailed oriented, customer/client –centric
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to be resourceful and proactive when issues arise

  • 2-3 years of relevant experience in an office environment
  • Able to type 35 wpm minimum
  • Excellent interpersonal skills
  • Punctual with strong attendance history.

Educational Qualification:

  • Bachelor’s degree.

  • Timely and accurate insurance coordination and documentation.
