Job Title: Real Estate Operations Admin

Location: International Business Tower, Business Bay, Dubai, UAE

Qualifications

  • +3 Years of Real Estate Property Management Coordinator/Admin Experience
  • Excellent written and verbal communication skills
  • Hands-on experience in managing and coordinating real estate workarounds
  • Expert Level: Complete knowledge and clear understanding of Dubai laws and regulations especially in real estate as well as the company’s internal legal affairs point of view.
  • Can competently draft legal-related documents such as MOUS, Addendums, Contracts, NDAs, etc.
  • Completed and Hands-on Knowledge of Trakheesi System and Dubai Rest, Property Advertising Platforms Property Finder, Bayut and Dubizzle (verification, listings, etc.), preparing Tenancy and Leasing Forms/Agreement/Contracts – MOU and Rent and Sales agreements, undertaking Letters, Propspace, Mycrm and Broker Pad
  • Able to work independently and as part of a team
  • Able to work under pressure
  • Excellent communication skills
  • Computer Literate – MS Software and Adobe
  • Demonstrates ability to assist senior management and sales team with any additional work as needed
  • Have a strong work ethic and are eager to learn and make new sales with customers, including add-on services.
  • Strongly skilled in organization, problem-solving, customer service, and multitasking while being committed to excellence
  • Able to join immediately

Responsibilities

  • Day-to-day admin, clerical, and office works
  • Managing, monitoring, and maintaining work with/at/through Trakheesi System and Dubai Rest, Property Advertising Platforms Property Finder, Bayut and Dubizzle (verification, listings, etc.), preparing Tenancy and Leasing Forms/Agreement/Contracts – MOU and Rent and Sales agreement, undertaking Letters, Propspace, Mycrm and Broker Pad
  • Draft legal-related documents: MOUs, Addendums, NDAs, Contracts, etc. (general and specific modifications)
  • Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
  • Monitor deadlines and provide notices to appropriate parties when necessary
  • Ensure each transaction complies with legalities and any tax withholdings are complete
  • Schedule necessary appointments with all parties, including open houses and the final walkthrough
  • Help organize community outreach events to improve our standing in the local area
  • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Deliver concierge-level customer service to sellers, buyers, and lenders to improve customer satisfaction ratings
  • Participate in training sessions to improve skills with administrative tasks in the real estate industry.
