Job Description

Responsibilities:

  • Check purchase requests and obtain quotations at least three quotations in accordance with establishment’s policies & standards.
  • Assist the Purchasing Manager and Director of Purchasing in sourcing new suppliers.
  • Process purchase orders received in Material Control (system).
  • Process the daily market list as a priority.
  • Make sure the delivery of goods is according to delivery date that required in the purchase order and market list.
  • Advise the Purchasing Manager on quotations recommending suppliers offering the most competitive price whilst taking consideration quality, delivery time and consistency of supply.
  • Have a good understanding of the type, quality and pricing of all purchase items regularly required by the hotel.
  • Following up and ensure that all the outstanding orders are properly delivered and accordingly maintained the communication effectively with users.
  • Maintain the tracking procedures for all the process in efficient and traceable manners

Profile:

  • Always communicate in a friendly, tactful and professional manner with guest, suppliers as well as colleagues
  • Be informed and keep your supervisor informed of all matters that may affect your work, the hotel’s service or reputation
  • Always present a clean and tidy appearance in accordance with the hotel’s grooming standards
  • Be flexible and open to change in your job responsibilities, work area and/or roster to meet business needs
  • Be understanding, supportive, encouraging and helpful to guests as well as suppliers and your colleagues
  • Care about your work environment and make sure it is tidy and well maintained
  • Be reliable and ensure you are at work on time
  • Know your role in case of emergency such as bomb threat, flood, fire etc.
  • Understand the Employee Handbook and comply with the standards it outlines
  • Be actively involved in building teamwork and enhancing the team’s commitment to their work and the hotel
  • Understand the hotel’s vision and brand personality and ensure it is integrated in your daily work practices
  • Recognize outstanding individual performance in your team and deal with substandard performance fairly, immediately and constructively
  • Ensure all employees under your supervision are scheduled in accordance with
  • business needs
  • Carry out all professionally reasonable instructions given by your supervisor

Qualifications

  • Diploma/ Degree in any related field.
  • 5 years + related experience preferred with buying/purchasing experience.
  • Exposure in handling projects, purchase of packaging materials, machineries, spare parts, facilities & utilities items.
  • Well versed in purchasing techniques and assisting in vendor selection with excellent negotiation skills.
  • Positive attitude to learn and take up new challenges.
  • Independent and able to work with minimum supervision.
  • Fast learner and adaptable on different site conditions.
  • Good analytical skill, project leading,  problem solving & communication skill
  • Required skills: Ms Excel, Google sheet, Google slide
