Position: Project Support Officer

Location: Aden/Lahj Office

Grade: 4b

Contract Length: till Dec 2023 (with a possibility of renewal)

The Opportunity:

SCI is implementing a USAID-funded education project called Gateway. And is recruiting a diverse individual with skills, training, and experience in Admin, basic finance, and supply chain responsibilities. She/he will work very closely with finance, admin, and supply chain departments to ensure that the Gateway project (jointly implemented by Creative Associate and SCI) needs and requirements are delivered timely. This will include day-to-day admin activities, document movement for approvals, raising procurement needs, and general support for the Gateway project.

Key Areas of Responsibilities: 

  • Procurement :
  • Prepare Purchase Requests on ProSave system (SCI’s procurement ERP system), and follow-up with Supply Chain
  • Work with procurement to purchase required office resources like stationaries, equipment, consumables, and ensure effective stock management of these resources 
  • Admin
  • Manage and monitor the availability of accessories, equipment, stationery, supplies, and place orders as required to the Admin department.
  • Work closely with Admin Officer to resolve issues related to building and maintenance issues, general repair – air conditioning, security, etc
  • Ensure cleanliness and tidiness of office premises at all times.
  • Take lead in planning, organizing, and resourcing for internal and external engagements including – local project stakeholders meetings, orientation, and training; arranging venues, mobilizing required materials and equipment, prepare weekly vehicle movement plan, and arranging for refreshments etc;
  • Other Support Functions:
  • Work closely with admin, logistics, and liaison to process and facilitate field travels and/or project site visits. 
  • Follow all related payments related to Gateway projects from (both SCI and Creative staff)
  • Maintain a proper documentation and filing system for all program files and related documents.
  • Support all fleet and movement request processes and tasks.

Undertake any task delegated by line manager, field manager, Gateway CoP/DCoP, etc 

Qualifications and Experience:

  • Desirable: at least secondary school.
  • University degree in administration, project management, human resources, finances, or related field.
  • A minimum of three (3) years’ experience as a receptionist, office administrator, general office management, procurement and administration, etc
  • At least one year working in the field of at least two of the three – Admin, finance, and supply chain/logistoc
  • Ability to work independently or as part of a team on multiple tasks in a high-intensity environment;
  • Strong individual initiative, including the ability to manage daily activities and achieve expected results with minimal oversight;
  • English language fluency (strong written and verbal skills) is required;
  • Excellent computer skills (Word, Excel, PowerPoint, and Outlook);

Working experience in INGO or companies.
