<strong>The opportunity</strong><p><br></p><strong>Project: </strong>This is an opportunity to work on one of the largest programmes in Saudi Arabia. This unique project consists of major mixed-use development including sports facilities, entertainment, and arts along with all associated infrastructure.<p><br></p>Mace is one of the delivery partners requiring high-calibre and experienced professionals to lead integrated teams throughout each phase of the project.<p><br></p>This opportunity is for a Saudi national only.<p><br></p><strong><u>Your Responsibilities Will Include</u></strong><p><br></p><ul><li>Improving the use of Microsoft Office advanced tools in project templates and reports. </li><li>Preparing, formatting, and consolidating workflows, procedures, templates, and presentations using appropriate software as requested. </li><li>Ensuring all documents are in line with Mace Way. </li><li>Collecting data as requested. </li><li>Ensuring Mace Way templates can be found on SharePoint at this location. </li><li>Sending timesheet template to project team </li><li>Extracting timecards from Oracle to cross-check the timesheets submitted by the project team and leave chart design.</li><li>Providing administrative support to the department for the delivery of large mixed-use development.</li><li>Planning and coordinating administrative procedures and systems and finding ways to streamline processes within the commercial department to drive continuous improvement. </li><li>Managing diaries on behalf of senior-level individuals within the commercial department.  </li><li>Managing schedules and deadlines. </li><li>Arranging meetings and taking minutes. </li><li>Ensuring operations adhere to policies and regulations.  </li><li>Keeping abreast of all organizational changes and business developments. </li><li>Performing quality management on documents issued by the commercial department. </li><li>Preparing and collating regular reports. </li><li>Reconciling weekly time records for invoicing purposes. </li><li>Assisting with the preparation of invoices and following up with the client for the payment of submitted invoices.  </li><li>Preparing and modifying documents including correspondence, reports, and emails. </li><li>Working with document control to ensure that electronic document control is maintained and that actions are closed in a timely manner.</li></ul><p><br></p><strong><u>About You</u></strong><p><br></p>You have a relevant degree qualification. You have an experience with web-based information management systems, and good IT skills covering Excel, Word, SharePoint, and Outlook. You have knowledge and use of document control systems and experience with handling documentation.<p><br></p>You are digitally savvy, can build lasting client relationships, and lead strong, motivated teams.
