Job Description

ORGANIZATIONAL CONTEXT

These jobs are found in Regional Bureaux (RBs), Country Offices (COs), Area/Field Offices (AOs/FOs). Job holders typically report to a Programme Policy Officer or Head of Field Office. At this level, job holders are expected to demonstrate responsibility and initiative to respond independently to various queries with only general guidance. There is a requirement to use judgment in dealing with unforeseen operational problems on a daily basis. Job holders are expected to manage resources and coach and coordinate support staff.

Job Purpose

To provide effective specialized support and technical analyses to policy and programme activities that effectively meet food assistance needs.

Background information

Identity management is a core component of the design and implementation of effective and efficient Programme activities, this includes the processes of beneficiary identification, registration and beneficiary data update, up to ensuring the readiness of quality data for enrolment and prioritization when needed.

Accountabilities

The training and Senstization associate will technically and administratively report to the Head of Regisration & Registry unit Coordinator at the area office level. At this level, the incumbent is expected to leadn ,demonstrate responsibility and initiative to respond independently to queries and requests for espicailized type of technical trainings, incumbent expected to lead and produced a well fashioned sentiziation materials.

The incumbent will be responsible for the following:

  • Develop, produce and maintain high-quality Standard Operating Procedures and training manuals for the registration and data updates excericses in the southern governorartes;
  • Develop advanced training work plan/workshops, aligned with registration & registry management strategies and propose new methodologies, as well as quality assurance plan for the entire field Offices;
  • Translating complex and technical information into an intuitive and clear format;
  • Engage with concerned units ( communication unit ) and espcailaized contracted vendor to produce multimedia contents related to the importance of registration and data collectoin, this content may include video footage and tutorials using appropriate software such as (Adobe play, Flash animations, etc).
  • Leverage basic understanding of using registraion digital tools and realities in the field and development of various technical guidances documents that includes but not limited to business requirements, registration processes, and end user documentation;
  • Generate Diagrams, Drawings and Charts to explain the functionalities of the deployed registration digital solutions;

 

 

  • Interview the appropriate team leaders, support staff, and quality assurance personnel at various level (Country Office/RB/HQ) to understand functionality of various solutions needed by the Country Office and determine the documentation needs throughout the project lifecycle;
  • Interact with relevant internal and external stakeholders for training needs and related information;
  • Lead and Coaches team in the most effective ways to communicate WFP’s Strategic Objectives to WFP team and partners in the field.
  • Successful facilitation of the trainings/workshops at the area and field offices.
  • Technical advice and support to participants during the training/workshop;
  • Perform other related duties as assigned.

Results Expected:

  • WFP staff at Country and Area Offices including external stakeholders involved in registration and targetting are adequately trained and given guidance on relevant business procedures supported by SCOPE. 
  • Have in place a clear training & sensitization strategies covering the area Office and Area Offices.
  • A full set of documentation (SOP, User Manual, frequent asked questions, senstizatin packages etc…) that defines the approach, methodologies and tools being used for regsiatraion and database updates in the area office;

 

Critical Success Factors:

  • Skilled at developing and delivering training programs.
  • Understanding of the goals of the functional unit and how the corporate training program enables the area Office to achieve its strategic objectives. Understanding of the policies and procedures that govern the delivery of the corporate training program.
  • Good knowledge and practical experience in use of information technology tools for the reporting, graphics and visualizations;

Skills

TANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in Information Technology, Social Science , grahic designer or other relevant field is desirable.

Language: Proficiency (read/ write/ speak) in English & Arabic

Experience: Minimum Six years of relevant experience.  

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

 

 

  • Extensive experience on building capacities and developing comuncation materals;
  • Demonstrated high level of professionalism and an ability to work independently and in high pressure situations under tight deadlines;
  • Excellent inter-personal communication skills including experience of facilitation of trainings/workshops and presentation;
  • Proven and demonstrated broad knowledge of and ability to utilize principles, methods, techniques;
