The successful candidate will be responsible for performing various administrative and office management tasks to ensure smooth operations and support the overall functioning of the office. This role requires attention to detail, excellent organizational skills, and the ability to multitask effectively.</p><p><br></p><p><strong>Responsibilities:</strong></p><ol><li>Perform basic office tasks:</li></ol><ul><li>Conduct data entry tasks accurately and efficiently.</li><li>Manage appointment scheduling and booking for restaurants, meetings, and other events.</li><li>Take messages and distribute them to the appropriate individuals promptly.</li><li>Sort incoming mail and handle outgoing mail, ensuring proper documentation and delivery.</li><li>Maintain and update filing systems, both physical and electronic.</li><li>Operate office machines, such as photocopiers, scanners, and printers.</li><li>Arrange equipment maintenance and repairs as needed.</li></ul><ol><li>Provide administrative support:</li></ol><ul><li>Assist with the preparation and formatting of documents, reports, and presentations.</li><li>Manage and maintain office supplies, inventory, and equipment.</li><li>Coordinate travel arrangements and itineraries for staff members.</li><li>Schedule and coordinate meetings, conferences, and appointments.</li><li>Prepare meeting agendas, take minutes, and distribute them to attendees.</li><li>Assist in the preparation and distribution of internal communications and announcements.</li></ul><ol><li>Office management:</li></ol><ul><li>Oversee and maintain a clean, organized, and efficient office environment.</li><li>Coordinate office maintenance and repairs, including liaising with external vendors.</li><li>Manage office-related contracts, subscriptions, and services.</li><li>Develop and implement office policies and procedures to ensure smooth operations.</li><li>Assist in the onboarding process for new employees, including setting up workspaces and providing necessary resources.</li></ul><ol><li>Support executive management:</li></ol><ul><li>Assist senior executives in managing their calendars, scheduling appointments, and organizing meetings.</li><li>Conduct research and compile information for reports and presentations.</li><li>Handle sensitive and confidential information with the utmost discretion and professionalism.</li><li>Collaborate with other team members to support various projects and initiatives.</li></ul><p><strong>Qualifications:</strong></p><ul><li>Proven experience in an administrative or office management role.</li><li>Proficient in using office software and equipment.</li><li>Excellent organizational and time management skills.</li><li>Strong attention to detail and accuracy.</li><li>Effective verbal and written communication skills.</li><li>Ability to multitask and prioritize tasks effectively.</li><li>Professional demeanor and ability to maintain confidentiality.</li><li>Strong problem-solving and decision-making abilities.</li></ul>
