Job Description
Job summary:
We are looking for a reliable and proactive Office Administrator to join our team. The ideal candidate will be responsible for providing administrative support, ensuring the smooth running of the office, and maintaining a positive and productive work environment.
Office-Related:
- To become an active member of the Fire Marshall team
- To become an active member of the First Aider team
- Assists in office refurbishments, relocation and seating re-arrangements
- Preparation of Purchase Requests, Purchase Orders and Payment Vouchers for office-related suppliers
- Managing the allocation of parking spaces
- Maintaining all office-related folders & Inventories
- Provide assistance in handling office maintenance issues such as AC related issues, equipment for repair, etc.
- Responsible for ordering, distributing and arranging the office stationery
- Responsible for ordering food for the clients, weekly pantry supplies, daily water supply & cleaning materials and supplies
- Tracking and scheduling of the AMCs of all office-related suppliers i.e Pest Control, AC, Water filter & Air freshener
- Assists in sourcing out suppliers for office requirements i.e table, chairs, equipment etc.
- Keeping track of the maintenance of the AED machines i.e battery, adult & pediatric pads
- Assists replenishing the supplies of the First Aid kit
- Assist the staff under Office Management team with all their concerns
Building-Related:
- Responsible for reporting and resolving Illegal parking
- Assists for parking access for the Visitors and Drive In clients by calling the Building Management/Security
- Reporting concerns/issues related to the common areas such as toilets, corridor, staircase & parking
- Prepare building work permits for contractors and suppliers
Desired Skill & Expertise
Qualifications:
- Bachelor’s degree in business administration or a related field
- Proven experience as an office administrator, office assistant, or similar role
- Knowledge of office management systems and procedures
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to multitask and prioritize tasks effectively Proficiency in Microsoft Office Suite and other office software
- Familiarity with HR and financial management systems is a plus
- Fluent in English
