Job Description
Responsible for administrative tasks, coordinating and facilitating the key areas of HR functions.
Duties & responsibilities but not limited to the below:
- Assist the recruitment process with sourcing and facilitating interview schedules.
- Liaise with Agencies for the documentation of overseas candidates, ticket issuance, and onboarding instructions.
- Support the administrative part of the new hire process: collecting all documents necessary documents such as civil ID, passport, work permit, educational certificates, photo, and completed personal forms, and preparing the offer letter. 路
- Responsible for the onboarding process, i.e., staying in touch with the candidates, answering their questions, sending them relevant information, updating the Hiring Manager fortnightly, and coordinating with the IT and Procurement department for workstation requirements and biometric enrollment. 路
- Timely update of the recruitment tracker and onboarding tracker.
- Conduct orientation for new joiners and handover to the concerned department. 路
- Answer all internal and external HR-related queries and requests related to the HR system. 路
- Create employee鈥檚 physical files, scanning documents for system e-files and archiving. 路
- Assist with payroll: attendance and leaves. 路
- Schedule meetings and events.
- Prepare and provide HR Reports and Dashboards to stakeholders. 路
- Track employee benefit plans (enrollment to private medical insurance, air ticket allowance).
- Liaise with the Insurance company for the addition/deletion of the members.
- Update the probation tracker and coordinate with the department manager.
- Content creation for the monthly internal newsletter. 路
- Assist in ad-hoc HR projects, like the collection of employee feedback.
- Perform other tasks assigned by Line Manager as and when required.

- Proficient in MS Office (Excel, PowerPoint, OneDrive, SharePoint). 路
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
