This is a role with dual responsibility where you will be handling administrative tasks and services to support the smooth running of the HR Department. In your role as Office Assistant, you will drive the service delivery in all office related matters. You will also get the opportunity to work on different projects. This role reports to the COO.</span></p><p><br></p><p><strong>Who YOU are:</strong></p><p><br></p><ul><li><span>A self-motivated, proactive, and reliable individual with strong administrative &amp; interpersonal skills</span></li><li><span>A Team player with a passion to work closely with others while maintaining an entrepreneurial, self-starter spirit</span></li><li><span>You have a good overall understanding of Office Management &amp; HR Administration</span></li><li><span>Competent with a high sense of confidentiality</span></li><li><span>Excellent organizational skills with an eye for detail</span></li><li><span>Able to prioritize well and understand the needs of the company to support growth</span></li><li><span>Service-minded and you love helping people</span></li><li><span>You are excited to support building a culture that lasts</span></li><li><span>Curious, willing, and able to learn</span></li><li><span>You thrive in a fast-paced environment</span></li></ul><p><br></p><p><strong>YOU will:</strong></p><p><br></p><ul><li><span>Maintain accurate and up-to-date HR records, files, and documents</span></li><li><span>Ensure all immigration/visa requirements for the employees are administered effectively</span></li><li><span>Manage the medical insurance enrollment and deletion process</span></li><li><span>Process employees’ requests and provide relevant information</span></li><li><span>Provide recruitment and on-boarding support</span></li><li><span>Take ownership of automating processes using the tools &amp; technologies we have</span></li><li><span>Liaise with external partners, such as IT providers and travel agencies</span></li><li><span>Manage correspondence with vendors and agencies as needed, and be a reference point on administrative matters</span></li><li><span>Maintain the IT and Travel/Expense claim policy</span></li><li><span>Help with event planning and employee engagement activities</span></li><li><span>Help to build a one-of-a-kind culture across the company by being courteous, friendly, and helpful towards others</span></li><li><span>Manage the weekly orders for the office</span></li><li><span>Keep an inventory of office supplies &amp; equipment</span></li><li><span>Maintain office &amp; IT equipment</span></li><li><span>Receive parcels and manage petty cash</span></li><li><span>Arrange for office maintenance as needed &amp; resolve any office-related malfunctions</span></li><li><span>Support the team with booking business trips</span></li><li><span>Prepare and send out communications as needed</span></li><li><span>Optimize processes in the office</span></li></ul><p><br></p><p><strong>YOU Have:</strong></p><p><br></p><ul><li><span>A Bachelor’s degree or equivalent</span></li><li><span>3-5 years of relevant work experience of which at least 1 year as an HR Assistant</span></li><li><span>Prior work experience in a small to midsize business is a plus</span></li><li><span>Recruitment experience is beneficial</span></li><li><span>Proficiency in Gmail, Google Drive, Google Calendar, Slack and Monday.com is an added benefit, or having the willingness to learn</span></li></ul><p><br></p><p><strong>WE Offer:</strong></p><p><br></p><ul><li><span>A coveted title of a Bearabuddy</span></li><li><span>A vibrant, diverse, and collaborative team</span></li><li><span>Mission focus towards sustainability and collectiveness</span></li><li><span>Competitive salary</span></li><li><span>Worldwide Health Insurance coverage (including Dental)</span></li><li><span>Paid Annual Leave</span></li><li><span>Maternity and Paternity benefits</span></li><li><span>Birthday off</span></li></ul><p><br></p>
