Role Responsibilities:

  • Prepare, manage and store paperwork for HR policies and procedures
  • Answer employees’ questions and provide requested information
  • Maintain schedule and coordinate calendar activities
  • Assist recruiters in posting job ads on careers pages and processing received resumes
  • Answer telephone calls and provide needed information
  • Create reports for senior management
  • Manage and update HR databases with different information such as new hires, visas, terminations, sick leaves, warnings, vacation and days off
  • Provide administrative support for Operation management
  • Organize, compile, update company personnel records and documentation
  • Assist in the management of recruiting including drafting job descriptions, job postings, candidate reviews and screenings, tracking and scheduling interviews, and drafting job offer templates and SOWs.
  • Assist with handoff to HR for new employee onboarding and ensure a positive beginning for all new team members;
  • Support the staffing needs of the organization.
  • Support recruiting Director with administrative tasks;
  • Assist with recruiting efforts on LinkedIn;
  • Post job opportunities to LinkedIn;
  • Conduct research on LinkedIn for potential candidates;
  • Communicate with prospective hires potential opportunities, mission, history of organization;
  • Develop LinkedIn network, engaging with individuals and groups;
  • Monitor LinkedIn pipeline.

  • Learning/understanding of consulting “soft” skills necessary on engagements, as well as with team collaborative initiatives;
  • Excellent oral and written communication skills, the ability to clearly and concisely communicate with others. 
  • Assist the project team with documenting the developing solutions for client situations by acting as a scribe in design sessions and documenting all action items;
  • Assists the project team with administrative tasks including updates to spreadsheets or other trackers related to project activities.  
  • Assists the project manager by obtaining status updates from team members and updating the project plan with percentage complete.
  • Contribute to preparing/ developing solution documentation by editing for language and formatting to project standards for projects.
  • May assist in booking travel, hotel reservations, team outings as requested by the project manager.

Requirements:

  • BS or BA, or equivalent; + CIPD – level 3 
  • 0-2 years of professional experience in HR and/or recruiting and administration.
  • Previous working experience as an HR administrative assistant for (1-2) years 
  • Ability to effectively use computer software including Microsoft Outlook, Word, Excel and HR software
  • Knowledge of HR software (HRIS or HRMS and Recruitment Marketing platforms, ADP, Open-air Time & Expense)
  • Familiarity with labor and visa laws
  • Global experience
