<strong><u>Position Description<br><br></u></strong><strong>EnCompass LLC </strong>is seeking a <strong>Finance Support Driver</strong> candidate for a 5-year, United States Agency for International Development <strong>(USAID) Makanati Women’s Economic Empowerment and Leadership Activity in Jordan</strong>. The purpose of Makanati is to contribute to increasing women’s access to waged employment and leadership opportunities in Jordan by improving women’s access to the job market, addressing inequalities and prohibitive social norms and traditions, and enhancing the workforce enabling environment.<br><br><strong>The Finance Support Driver plays a crucial role in ensuring safe and efficient transportation of Makanati staff, visitors, and guests, while also performing various logistical tasks to maintain vehicle legality and safety.</strong> With excellent communication skills and punctuality, the driver exercises situational awareness during transportation, adhering to safety and security measures, policies, and laws. Additionally, the driver provides comprehensive administrative support to the Finance &amp; Administration Team and other staff members, including preparation of payments, scheduling, visitor reception, meeting preparation, transportation coordination, travel assistance, incident reporting, and general office tasks.<br><br>The Driver may not transport any unauthorized person(s) or provide unauthorized transportation.<br><br><strong>This full-time position is based at the EnCompass office in Amman, Jordan and will report to the accountant.<br><br></strong><strong><u>Essential Functions<br><br></u></strong><strong>Position Duties and Responsibilities<br><br></strong><strong><u>Responsibilities<br></u></strong><ul><li>Provides administrative support to the Finance &amp; Administration Team and other staff as needed, including assistance with photocopying, travel schedules, visitor reception, meeting preparation, and general backstopping support.</li><li>Coordinates and follows up on transportation logistics for staff visits, ensuring smooth travel arrangements.</li><li>Oversees and coordinates the purchase, receipt, and distribution of office supplies and stationery.</li><li>Maintains updated contact address, telephone, and email address files, as well as visitor lists.</li><li>Monitors and maintains office equipment, conducts regular inventory counts, and coordinates with the Finance and Admin Specialist for equipment maintenance and repairs.</li><li>Escorts Encompass staff, Short-Term Technical Assistance (STTA) personnel, and guests to destinations (meetings, site visits, and other specified occasions) according to established schedules.</li><li>Coordinates with the Finance &amp; Administration Team for all travel-related matters, particularly security updates or incidents during travel.</li><li>Prepare payment package. This include compiling supporting documentations for financial transactions. </li><li>Reports any incidents or deterioration of the safety situation promptly to relevant parties.</li><li>Assists in the renewal of visas and other official documents as requested.</li><li>Schedules routine vehicle repairs and maintenance in accordance with EnCompass policies.</li><li>Conducts yearly vehicle inspections and ensures insurance is up to date.</li><li>Records mileage, purpose of trip, passengers, and other necessary information in the logbook as required by Encompass policies.</li><li>Ensures the project vehicle is clean, fueled, and ready for use.</li><li>Engages fully as a member of the EnCompass Makanati Jordan team, actively participating in meetings and training as necessary.</li><li>Assists in acquiring project needed supplies and purchases from vendors.</li><li>Assists in maintenance tasks and office upkeep.</li><li>Performs other duties as assigned by the Finance and Operations Director and Accountant. <br></li></ul><strong><u>Qualifications<br><br></u></strong><strong>Position Requirements<br><br></strong><strong><u>Academic Qualifications<br></u></strong><ul><li>A bachelor’s degree in accounting, finance, business administration, or a related field is preferred. However, a combination of relevant education and work experience may also be considered.<br></li></ul><strong><u>Experience And Skills<br></u></strong><ul><li>Valid Jordanian driver’s license </li><li>At minimum two years of driving experience.</li><li>Citizen or permanent resident of Jordan.</li><li>Minimum of 3 years of total experience in both accounting and administrative support roles is desirable. Experience working in an office or organizational setting, preferably in the development sector, would be an advantage.</li><li>Accounting Knowledge: Familiarity with Jordanian accounting regulations and tax laws would be beneficial.</li><li>Language Skills: Good knowledge of English and Arabic is essential, as the position requires effective communication in both languages. Excellent written and verbal communication skills are necessary to interact with internal and external stakeholders.</li><li>Computer Proficiency: Proficiency in using accounting software (such as QuickBooks or similar systems), Microsoft Excel, and other relevant computer applications is required. Familiarity with database management and document preparation software would be beneficial.</li><li>Attention to Detail: Strong attention to detail and accuracy in financial data entry, record keeping, and document preparation is crucial for this position.</li><li>Organizational Skills: The ability to prioritize tasks, handle multiple assignments simultaneously, and meet deadlines is important. Strong organizational and time management skills are necessary to ensure smooth operations.</li><li>Problem-Solving Skills: The ability to analyze situations, identify issues, and propose practical solutions is valuable. Proactive problem-solving skills help in addressing challenges efficiently.</li><li>Teamwork and Interpersonal Skills: The ability to work effectively in a team environment and collaborate with colleagues at all levels is essential.
