Summary

The Executive Secretary will provide high-level administrative support to the Divisional Manager and act as a liaison between the internal/external stakeholders along with managing day to day activities. The ideal candidate will possess strong communication, organizational, and administrative skills, and the ability to prioritize and handle multiple tasks simultaneously.

Skills

Responsibilities:

  • Manage the Divisional Manager’s calendar and schedule, ensuring that all appointments are properly prioritized and scheduled.
  • Undertake a broad range of administrative tasks, including drafting correspondence and reports, handling inquiries, liaising with operational and HR department, maintaining records.
  • Conduct research on various issues and concerns and determine the appropriate course of action or response.
  • Liaise with the board of directors, senior management teams, and other stakeholders on behalf of the Divisional Manager.
  • Oversee special projects as assigned.
  • Maintain confidentiality of sensitive information and exercise discretion in all matters.
  • Keep the Divisional Manager informed of upcoming commitments and responsibilities, and follow up on action items as necessary.
  • The position requires discretion and the ability to handle confidential information. The candidate must be available in Qatar and have a minimum of 5 years of relevant experience in the construction or contracting industry or anything similar.
