Responsibilities:

  • Manage executive schedules, appointments, and travel arrangements.
  • Prepare and organize meetings, conferences, and other company events.
  • Take detailed meeting minutes and provide accurate records of discussions and decisions.
  • Assist in the preparation of reports, presentations, and other business documents.
  • Create and maintain databases and spreadsheets to support executive reporting.
  • Maintain and update company records, including contracts, agreements, and confidential files.
  • Coordinate and communicate with internal and external stakeholders on behalf of the executives.
  • Handle and prioritize incoming calls, emails, and inquiries, ensuring appropriate follow-up.
  • Prepare and review expense reports, invoices, and financial documents.
  • Assist in the preparation and coordination of board meetings and shareholder meetings.
  • Conduct research, gather information, and prepare reports as requested by the executives.
  • Assist in the coordination and implementation of special projects and initiatives.
  • Maintain a high level of confidentiality and professionalism in handling sensitive information.

Requirements:

  • Proven experience as an Executive Secretary or similar role, preferably within the IT industry.
  • Proficiency in English is essential, both spoken and written. Proficiency in Arabic is preferred.
  • Hands-on experience with SAP is a must
  • Excellent organizational and time management skills, with the ability to multitask and prioritize.
  • Strong communication and interpersonal skills, with the ability to interact effectively at all levels.
  • Attention to detail and accuracy in handling administrative tasks.
  • Proficient in using office productivity tools (e.g., MS Office Suite).
  • Ability to work independently and proactively, demonstrating a high level of initiative.
  • Discretion and professionalism in dealing with confidential information.
