Job Description
Responsibilities:
- Manage executive schedules, appointments, and travel arrangements.
- Prepare and organize meetings, conferences, and other company events.
- Take detailed meeting minutes and provide accurate records of discussions and decisions.
- Assist in the preparation of reports, presentations, and other business documents.
- Create and maintain databases and spreadsheets to support executive reporting.
- Maintain and update company records, including contracts, agreements, and confidential files.
- Coordinate and communicate with internal and external stakeholders on behalf of the executives.
- Handle and prioritize incoming calls, emails, and inquiries, ensuring appropriate follow-up.
- Prepare and review expense reports, invoices, and financial documents.
- Assist in the preparation and coordination of board meetings and shareholder meetings.
- Conduct research, gather information, and prepare reports as requested by the executives.
- Assist in the coordination and implementation of special projects and initiatives.
- Maintain a high level of confidentiality and professionalism in handling sensitive information.
Requirements:
- Proven experience as an Executive Secretary or similar role, preferably within the IT industry.
- Proficiency in English is essential, both spoken and written. Proficiency in Arabic is preferred.
- Hands-on experience with SAP is a must
- Excellent organizational and time management skills, with the ability to multitask and prioritize.
- Strong communication and interpersonal skills, with the ability to interact effectively at all levels.
- Attention to detail and accuracy in handling administrative tasks.
- Proficient in using office productivity tools (e.g., MS Office Suite).
- Ability to work independently and proactively, demonstrating a high level of initiative.
- Discretion and professionalism in dealing with confidential information.
