Job Description
We are seeking to hire an Executive Assistant (EA) for a VIP. As Executive Assistant your primary responsibilities include managing calendars, making travel arrangements, preparing expense reports, and performing other tasks that may need to be done. You are expected to be comfortable with stressful situations while maintaining high professionalism and a service-minded approach. The duties of the EA require a high level of diversified skills & confidentiality. To be successful in this role, you should be well organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of the business by providing personalized and timely support to executive members. The EA should expect odd working hours and expect to be on call.
In this role, you will.
- Managing the daily diary including the scheduling & follow-up appointments.
- Acting as the point of contact among executives, employees, and other external partners
- Managing information flow to the management in a timely and accurate manner
- Control the calendars of the management and set up meetings.
- Act as the point of contact among executives, employees, and other external partners
- Make travel and accommodation arrangements.
- Managed the management of daily expenses and receipts for later processing.
- Format information for internal and external communication β memos, emails, presentations, reports
- Take minutes during meetings.
- Screen and direct phone calls and distribute correspondence.
- Assist with planning of VIP engagements.
- Other personal-related requests from the management.
- Maintain and control all data related to VIP.
Requirements
To be considered for this opportunity, you need to meet the following criteria:
- Bachelors degree required.
- Strong work tenure: five to 10 years of experience supporting C-Level Executives.
- English language fluency and Arabic would be an advantage.
- Experience and interest in internal and external communications, partnership development, and relationship management.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.
