Job Description
Responsibilities of the Executive Assistant :
– Resourcefully manage (master schedule) an ever-changing and robust calendar for Partners, with regular high-level direct contact with clients and internal leadership
– Handle sensitive information pertaining to clients, technical managers, and partners’ personal and family matters
– Coordinate and plan meeting details (virtual or in person) – including location, IT and media details (video and/or conferencing software and linkages), catering needs, and other arrangements
– Coordinate general support and logistics in the department
– Coordinate special requests and various ad hoc projects assigned by the Partners or senior leadership
– Represent the firm through professional correspondence with external clients and other various communication channels (phone, text, email)
Skills
– 7-10+ years of full-time work experience as a high-level Executive Assistant
– Experience in corporate or financial services preferred
– Distinctive written and verbal communication skills
– Strong problem-solving abilities
– High level of accuracy and attention to detail
– Excellent organizational skills; ability to manage own workload, prioritize conflicting demands, multi-task, and always deliver high-quality products while adhering to tight and structured deadlines
– Ability to maintain composure during demanding situations resulting from deadlines or heavy workloads by anticipating needs
– Proactive and able to work on own initiative while having the confidence to ask questions when unsure
– Flexible approach is essential to manage both day-to-day work and ad hoc requests
– Discreet with the ability to handle sensitive information in confidence
– Must always maintain a professional demeanor
– Strong work ethic and attention to detail and must show care in their work
– Verification of identity, education, prior employment, and references may be required
– Prefer Arabic speaker
