POSITION DESCRIPTION
Under the supervision of the Exchange Programs Manager, the incumbent is responsible for assisting in the management and operation of the Exchange Programs department. S/he is also responsible for handling logistical and administrative tasks leading to the success of programs implementation and departmental goals. S/he provides timely and accurate information on all Amideast Exchange programs in specific and Amideast services in general to current and prospective clients. S/he coordinates with parents and students on programs requirements and application/programs timeline and requirements. S/he is responsible for facilitating alumni programming from logistical and funding aspects in coordination with department manager. S/he supports other departments as needed and requested by department manager, HRM and CD. S/he is required to travel to the U.S. and escort students from/to Jordan and the U.S.
RESPONSIBILITIES
Main Duties:
Assist Exchange Programs Manager in the implementation and coordination of overall departmental operations to ensure all activities and reports are delivered on time with the highest quality
Assist the Programs Manager in all stages of Exchange Program implementation, including announcing new scholarships, assist in orientation and awareness sessions, preparation of promotion kits and flyers, arrange all logistics with procurement department and follow up on confirmations
In person program outreach across all governorates
Assist in conducting pre-departure orientations as needed with coordination from department manager and upon approval
Follow up on program applications submission, eligibility, and completeness check, filtration, entering data into data base
Maintain a complete and updated hard and soft copy-archived data base of students and alumni
Follow up with Programs’ beneficiaries and potential candidates on requested documents and information according to programs’ requirements
Assist Programs Manager in implementing Alumni activities and following up with Alumni
May serve as member of Amideast and alumni committees (for example Access selection committee, Amideast social committee, YES Alumni steering committee and board)
Maintain proper filing (soft and hard copy) for all programs’ documentation
This position requires traveling and escorting students from/to Jordan and the U.S.
Any other task required from management
QUALIFICATIONS AND SKILLS
Required
A bachelor’s degree in a relevant field
A minimum of 1 year of relevant experience
Proficiency in English is B2 (CEFR Level Alignment) and above
A native Arabic speaker
Computer literacy in MS Office
Ability to multi-task and prioritize responsibilities
Excellent oral communication and interpersonal skills
Good writing skills

WORK ENVIRONMENT
The incumbent in this position will work in a professional office environment and will utilize the following equipment when working from the corporate office or remote home office (either on a full time, temporary, or hybrid basis).

The position requires the availability to work during weekends and possibly in certain governorates. This position also requires traveling to the U.S. when needed. Up to 20% business travel may be needed to support the department as needed.
