We are looking for new fans who are interested and would enjoy being a part of the Mandarin Oriental Muscat opening team.<p><br></p><strong>Scope of Position </strong><p><br></p>Assist in the coordination of all maintenance &amp; repairs of the facilities and equipment. Performs and coordinates all clerical, project and administrative functions within the Engineering department and for the Director of Engineering.<p><br></p><strong><u>Responsibilities</u></strong><p><br></p><ul><li>Provide a support service to the Director of Engineer/Assistant Director of Engineering to assist in meeting the strategic goals of the department. </li><li>Co-ordinate and respond to telephone requests from guests and general work requests, direct and dispatch work assignments to Engineering trades via telephone, HOTSOS. </li><li>Maintain work order request board, assign work request to engineering associates and return completed work orders to respective originating departments as per standard and procedure. </li><li>Co-ordinate the preventative maintenance programs: </li><li>Inputting data and procedures for Hotel’s preventative maintenance systems </li><li>Allocation of weekly preventative maintenance </li><li>Maintain accurate records of all equipment </li><li>Maintain accurate records of HOTSOS and completed preventative maintenance </li><li>Provide Secretarial support to the HOD/Assistant HOD and Supervisor; </li><li>Ensure all office supply levels are maintained </li><li>Maintain and co-ordinate appointments, meetings and inspection schedules </li><li>Co-ordinate Engineering associate fortnightly / monthly time sheets ensuring they are submitted to payroll </li><li>Set up and maintain efficient filing system </li><li>Compose and type all outgoing correspondence for the HOD/Assistant HOD and Supervisor </li><li>Establish and maintain trace file regarding all scheduled inspections required by local law </li><li>Date stamp all incoming communications </li><li>Establish and maintain trace file regarding all maintenance contracts. </li><li>Responsible for taking minutes of meetings, typing and distribution of same. </li><li>Solicit pricing and quotations from vendors for storeroom items, departmental supplies and capital projects as assigned. </li><li>Initiate and co-ordinate purchasing of materials and supplies for the maintenance and construction of certain projects handled by engineering within the hotel. </li><li>Maintain expense tracking logs or spreadsheets as per departmental standard and procedure. </li><li>Maintain period contract and fixed expense files including raising all purchase orders and filing of all related service documentation. </li><li>Process requisition orders and distributes paperwork to accounts payable. </li><li>Prepare purchase accrual summary at month end and forward to accounting department. </li><li>Maintain an effective filing system for Engineering purchasing, tracking paid and unpaid invoices. </li><li>Coordinate with Purchasing to obtain petty cash for emergency purchases. </li><li>Prepare all documentation pertaining to capital expenditure project release worksheets. Maintain a systematic filing system for all capital expenditure project in compliance with Jardine Audits. </li><li>Prepare monthly, quarterly and annual Engineering reports. </li><li>Prepare monthly HARA reporting system to Corporate Engineering </li><li>Maintain Utility consumption and cost graphs, distribute the same, place on designated hotel notice boards. </li><li>Co-ordinate the Fire Protection Preventative Maintenance Program ensuring all items is inspected as per schedule. </li><li>Review daily log book, rectify or follow up on all items left unsolved from any previous shifts in relation to general handyperson repairs, discuss the same with the Engineering Supervisor/Assistant Director of Engineering. </li><li>Perform cleaning and tidying of all Hotel engineering related office areas </li><li>Ensure proper records are kept relating to all plant and equipment for the hotel. </li><li>Ensure proper measures are taken to protect the environment and the Hotel’s adherence to it. </li><li>Attend hotel and engineering specific meetings as required. </li><li>To comply with the grooming and uniform standards as per employee handbook / policy and procedure. </li><li>Attend training courses and workshops as scheduled. </li><li>Becomes thoroughly familiar with Hotel emergency procedures and perform assigned duties per Hotel and departmental procedures. </li><li>Ensure compliance with legislated workplace health and safety requirements </li><li>Comply with all Mandarin Oriental and Hotel Specific Standards and Procedures. </li><li>Promote by example the principles and values of “Mandarin Oriental” </li><li>Ensure all requests for maintenance are carried out within an acceptable time frame. </li><li>Become familiar and operate the Hotel Building Automation system. </li><li>Perform all assigned tasks to ensure the works have been completed in a reasonable time frame and to a standard pertaining to the complex and as set by the Engineering Management.</li></ul>
