Role Purpose

The Document Controller will be directly reporting to Document Control Manager within the Project and Development Services Unit, providing office services by implementing EDMS systems, procedures, and policies; and monitoring all project documentation. The Document Control Specialist will serve as a primary point of operational and administrative contact for internal and external constituencies.

What this job involves

  • Perform document control services on project in accordance with document management systems, controls, processes, and procedures, and any project- specific regulatory requirements.
  • Ensure all current and relevant documentation is uploaded to the document management system or any other company documentation platforms as required e.g. Microsoft SharePoint.
  • Performing quality control checks to ensure that digital files are Complete, Legible, and properly oriented. Consistently identified with the file naming convention and archived appropriately with the file directory structure convention.
  • Tracks and keeps records of documents.
  • Distributes copies of documents to the appropriate personnel.
  • Issuing and distributing reports on the status of documents to ensure all outstanding issues have been addressed.
  • Ensure the implementation of the correct EDMS procedures to all Contractors and Consultants.
  • Demonstrated ability to interact effectively with Client and consultants
  • Provide support to all users in capturing and locating electronic information.
  • Performing additional assignments as directed.

Experience

  • Minimum of 5 years of work experience in Administrative/Support role.

Qualifications

  • Holder of a Bachelor degree
  • Good oral and written communication skills
  • Proficient in MS Office applications (Word, Excel, PowerPoint)
  • Knowledge in Electronic Document Management Systems (Aconex)
