Job Description

• Preparation of structure of project management documentation and reporting, its necessary procedure, underlying systems and descriptions

• Definition and implementation of a consistent applicable standard in project documentation for various programs , considering the interfaces to third parties and the requirements of the programs and projects

• Recommendation and consulting in implementation of project management software tools in the field of documentation

• Design, monitors, updates and maintains tracking matrix, documents registry for incoming, outgoing, emails receives, transmittals and requests for information.

• Training and support of employees on various aspects of documentation.

• Coordinating with the technical documentation and systems for data input, internal expediting and generation of reports in accordance with the project requirements.

• Logical categorization and indexing of the documents to ensure easy retrieval

• Recording, expediting, reviewing and processing the documentation whilst maintaining a functional client service relationship both internally and externally.

• Preparing and issuing transmittals and maintain document control registers and maintaining the archive project documentation, including electronic and hard copies.

• Maintaining the master document register of the latest drawings on a project and ensure that all recipients are transmitted the drawings they require as soon as new revisions of drawings are received.

• Performing the digital conversion of the drawings on a project by computer scanning and distribute to the proper custodian

• Classification of documents for long term or short term archiving and disposal according to policy including digitization of important documents

• Initiate action in line with policy to get approval for periodical disposal of documents

• Following-up responses and actions.

Skills

• Expertise in discharging all responsibilities as Custodian of Project / Organizational Documents with proven abilities in File Management.

• Proficient with Electronic Documents Control Systems like Aconex

• Ability to utilize multiple word-processing and database applications including MS Office applications Word, Excel, power point, Access, Adobe Acrobat Professional and Site Handler.

• Basic knowledge in Auto CAD (x-ref & plotting)

• Excellent command of English (able to conduct business fluently, spoken and written
