What will you be doing?
We are looking for a strong candidate for the role of Client Billing Representative to be responsible for overseeing the billing process for our marketplace users and service providers. The Client Billing Representative’s duties include maintaining organized financial records to aide reporting and calculating invoice totals, supporting amounts to be collected from users and service providers, and/or owed to users and service providers, and preparing accounting team for processing of payments. The Client Billing Specialist will perform many accounting, client service and organizational tasks to promote the financial health of the company. The candidate is someone who has previously worked in an end-user billing role (and preferably in the B2B ecommerce space) and is able to simultaneously manage numerous accounts and time-sensitive client engagements.
The ideal candidate is a forward-thinker, has an entrepreneurial attitude and client service aptitude. The individual will need to be persuasive, organized, and possess strong and proven communication skills. It is very important that he/she can work independently and across all functional areas of the company, and influence without authority. The successful candidate will thrive off waking up daily and determining how to achieve their goals.
This is your opportunity to:
- Regular interaction with users and service providers by chat, phone, and email to provide information about invoicing of company’s products and services, canceling or upgrading accounts, or to obtain details of disputes
- Possess an understanding that buying decisions in B2B sales are made differently than in a consumer sales, and that our users are small businesses looking to acquire solutions that will produce valuable for their company
- Handle billing processes, including matters related to invoicing and reconciling accounts
- Prepare billing invoices and billing materials and perform data entry to be sent to/from users and service providers
- Interact with users and service providers to settle accounts and answer questions
- Support accounting team’s collection of payments and have debits or credits applied to accounts
- Search payment history or upcoming payment information for any payment inconsistencies or errors
- Input payment history, upcoming payment information or other financial data into an individual account
- Determine any charges to the marketplace services requested by users (upgrades/downgrades), adjust invoiced amounts to be collected or deposited
- Calculate and track billing matters so they can be applied company’s financial statements
- Collaborate with users, services providers, and team members to resolve billing inconsistencies and errors
- Inform users and service providers of any missed or upcoming payment deadlines
- Keep records of client interactions, recording details of inquiries, complaints, and comments
- Resolve client service issues or billing complaints by performing activities such as adjusting bills and preparing calculations for refunding money
- Refer unresolved client grievances to appropriate team member for further investigation
- Check to ensure appropriate changes were made to resolve user and service providers problems
- Prepare Monthly Reports to accounting team and senior leadership
- Communicate and coordinate with colleagues as necessary on account related matters
- Provide feedback on the efficiency of company’s client service and billing processes
- Ensure a high rate of client satisfaction with users and service providers
- Work with discretion to keep sensitive client and company information private and secure
You will be joining a well-versed team if you have:
- 1 year of Client Billing experience preferably required
- Experience working in a client support environment within a fast-paced company
- Degree in billing related filed or accounting field (preferred)
- Knowledge of billing systems, invoicing processes, and accounting terminologies
- Understanding of ecommerce technology solutions and a knowledge of the other key solutions used every day in a small business
- Know the company’s products inside and out so you can answer client questions with confidence and professionalism
- Ability to stay calm when clients are stressed or upset
- Strong communication skills

- Maintain a positive, empathetic, and professional attitude toward clients at all times
- Communicate with clients through various channels and respond promptly to inquiries
- Acknowledge and resolve client complaints
