Job Description
<br><p>The Administrator is responsible for completing clerical and administrative tasks for the office. Their main duties include welcoming and directing visitors, coordinating meetings and appointments, performing clerical tasks like answering phones and responding to emails, and ensuring a high degree of quality operations in all administration areas across the designated area of responsibility. Log all IT-related issues and follow up and assist with office events and parties.</p><p> </p><p><strong>Responsibilities</strong></p><p><br></p><ul><li>Assist in managing all of the Studio Administration and Quality requirements for the company.</li><li>Prepare all the companyβs basic accounting schedules and coordinate with the OM and GM. This includes general petty cash schedules, payroll, and expenses administration. Ensure project work is costed against the relevant project for profit and cost assessment.</li><li>Manage all Studio Procurement requirements and coordinate with all vendors/suppliers on pricing, timelines, and logistics.</li><li>Manage inventory control and replenishment of regular office supplies such as stationery and pantry supplies.</li><li>Manage coordination with the outsource IT. Ensure that IT issues are resolved immediately (both software and hardware)</li><li>Manage all of the design studios library/meetings via a dedicated Library calendar and general day to day library requirements for presentations and project needs</li><li>Assist where necessary the Operations Director / General Manager and studio employees as required.</li><li>Manage and maintain company supplier and contact database and directory</li><li>Professionally answer Company telephone and handle ad-hoc Company email inquiries. Act as a support receptionist for visitors to the office</li><li>Assist in managing letters, packages, and other forms of correspondence.</li><li>Manage agendas, travel plans, and appointments for upper management</li><li>Create and update databases and records for financial information, personnel, and other data.</li><li>Assist the Operations Manager in any ad-hoc project or assignment as and when required.</li><li>Ensure adherence to relevant company procedures and policies</li><li>Lead by example and ensure the team are providing a professional level of service and consistently exhibiting Kristina Zanic Consultants Service Standard and Values</li></ul><p><br></p><p><strong>Qualifications</strong></p><p><br></p><ul><li>Minimum of 5 years experience in a similar position</li><li>Possess excellent communication skills, both written and oral</li><li>Possess excellent Computer Skills</li><li>Possess strong administrative skills, record keeping, monthly reporting, time management, and organizational skills</li><li>Possess a passion for the design industry, motivation, and a team player attitude</li></ul><p><br></p><p>Note: please send applications through the email address: careers@kristinazanic.com</p>
