Administrative Coordinator, you report directly to the Administrative Supervisor. You play an important role in organizing and following up on clientsβ work order requests. </strong></p><p><br></p><p>Your job entails constant communication with the client to ensure that the full process is going smoothly, the parts needed to finish the jobs are ordered, and that all documents and needed information are being properly transferred to the client. Your job responsibilities entail as well constant communication with the Customer Service Representatives and the Team leads within the team to make sure that all the data you need to send to the client is available and complete.</p><p><br></p><p>In a more detailed way, the following duties are listed in your Job Description:</p><ul><li>Supervising client email or systems/portal</li><li>Preparing daily summary reports twice a day upon arrival and before the shift ends</li><li>Transferring data, updates, instructions, feedback, and questions from client systems to the company system and vice versa</li><li>Updating clients about the Estimated Time of Arrival (ETA) of the assessments, parts/equipment delivery, and repairs</li><li>Reporting outstanding/overdue proposals to the team lead and the management in some instances</li><li>Reporting missed Estimated Time of Arrival and no-shows to Team Leads and the management in some instances</li><li>Following up with parts/equipment orders and purchases. Reporting delays to Team leads and the management in some instances.</li><li>Proofreading Work Orders, sign-offs, and proposals, and checking the before and after pictures before invoicing</li><li>Prepare invoices as excel and PDF, send them to the client either by email or by adding each one on the portal</li><li>Acknowledging client requests, concerns, complaints, and questions continuously</li><li>Ensuring that all clients are updated proactively and promptly</li></ul>
