ADMIN ASSISTANT

(Fixed term contract- 1 year)

Core Job Responsibilities:

Arrange hotel and flight bookings including entry visa applications

Maintains and manages calendar of the GM; including meeting and travel scheduling and domestic and international travel arrangements.

Handling teleconferences and video conferences for the GM

Processing Expense Reports

Preparing LPOs

Clearing of vendor invoices

Meeting and event planning and organization for the employees

Preparation of event sponsorship documentations for regional and international events for HCPs

Uses intermediate to advanced software skills to perform work assigned

Coordinates new employee office set-ups and onboarding

Track and update department leave balance & submit quarterly report to HR

Sending courier

Experience

Any Graudate with 1-3 years experience as an Assistant with reputed organization

UAE Nationals only

Position Accountability / Scope:

Consistently interacts with high-level executives.

Intermediate to advanced knowledge and understanding of business processes and requirements

Frequently handles confidential or business-sensitive information

Maintains and manages calendar of the GM; including meeting and travel scheduling and domestic and international travel arrangements

Exhibits extraordinary attention to detail and critical thinking

Proactively identifies and resolves scheduling conflicts

Knowledge/Skills:

Knowledgeable in MS Office Applications, Outlook and OneConcur

Must have strong verbal and written communication, interpersonal, organizational and basic math skills.

Competencies:

Must be able to maintain a high degree of confidentiality and professionalism

Must be adept at handling multiple assignments

Ability to work in a highly diverse business environment
