<strong>Position Summary: <br><br></strong>The Executive Assistant (EA) primary role is to support the SMD leadership group and/or senior team members, as listed below, and to assist the Corporate Services team in the smooth running of the office.<br><br><strong> Scope and Responsibilities: <br><br></strong><ul><li> PA/Secretarial support to the Senior Managing Director(s) </li><li> Manage all business travel logistics (air tickets, hotels, transfers, redemptions, frequent flyer cards etc…) through the application and the local travel agent </li><li> Ensure all necessary arrangements are completed for meetings, whether internal or with external clients </li><li> Extensive diary management </li><li> Manage preparation, submission and tracking of expenses through the platform and accurate matter code (billable to client) is included in each expense </li><li> Input hours (billable and nonbillable) in time recording application (hours must be logged by end of the month) </li><li> Maintain current and accurate documentation pertaining to family personal documentation, such as passports, permits, academic certificates and birth/marriage certificates </li><li> Maintain visa and immigration documents for SMDs, spouses, and children (if applicable) </li><li> Assist with office related matters, functions </li><li> Use of internal platforms and programs and become an SME on each (Salesforce, Chrome River, Carpe Diem) </li><li> Upload medical claim forms in the respective SMD’s profile for reimbursement. </li><li> Assist with office-related matters, overall administrative assistance, including PA cover<br><br></li></ul><strong> Experience and Skills: <br><br></strong><ul><li> Minimum three years PA experience </li><li> Previous experience in a professional services environment, preferably telecommunications or financial services; ideally with a multi-national company with international exposure </li><li> Microsoft office application knowledge (Word, Excel, PowerPoint) </li><li> Relevant university degree, preferably Business Administration (BS or similar) </li><li> Excellent professional written and verbal communication in English </li><li> Ability to interact with other members of the business as well as external parties </li><li> Must be able to multi-task effectively </li><li> Ability to cope with aggressive deadlines and work under pressure </li><li> Understand and manage multiple time zones <br><br></li></ul><strong> Personal Attributes: </strong><ul><li> Highly organised and meticulous </li><li> Flexible to accommodate urgent out of hours requests </li><li> Proactive, dedicated to meeting deadlines and able to manage stress </li><li> Resourceful and willing to actively develop knowledge of the business </li><li> Smart appearance, well-presented and professional </li><li> Possesses a mature demeanor and positive attitude, as well as discretion and sensitivity when dealing with the SMDs </li><li> Possesses cultural awareness and sensitivity </li><li> Willingness to commit to and align with company culture and values<br><br></li></ul>Additional Information<br><br><ul><li> Employee Status: Regular </li><li> Payroll Expense Type: Infrastructure (Non-billable) </li><li> Citizenship Status Accepted: Not Applicable </li><li> Job Family/Level: Administrative Operations Level 2</li></ul>
