Job Description
<p>A general manager’s secretary is responsible for carrying out clerical, phone and administrative responsibilities while simultaneously representing the executive office. He / She must be detail oriented, have the ability to multitask and be a personable and professional representative of the general manager’s office. The secretary often coordinates inter-departmental work projects and serves as a liaison between her boss and other company employees.</p><p><br></p><p><strong>Responsibilities</strong></p><p>1. Make follow-ups to different departments, company, person any pending documents as requested by the General Manager including the status there of.</p><p><br></p><p>2. Manage all inward and outward correspondence of the General Manager’s Office in order to ensure timely and accurate receipt and dispatch of the same.</p><p><br></p><p>3. organizing and servicing meetings (producing agendas and taking minutes</p><p><br></p><p>4. Set-up and maintain General Manager’s Office correspondence files and personnel files of Staff and ensure safe custody and confidentiality.</p><p><br></p><p>5. Compile daily E-Mails received in company ID and submit summary report to General Manager.</p><p><br></p><p>6. Collect daily reports from all departments & branches; submit consolidated reports to the General Manager.</p><p><br></p><p>7. Coordinate with travel agent and Administration for visas, making travel arrangements & follow up on accommodation arrangements as per instruction of the General Manager</p><p><br></p><p>8. <span>Have communication and coordination skills with proficient in English/ Arabic in writing and verbal, as well as ability to work under pressure.</span></p><p><br></p><p><strong>Skills</strong></p><ul><li>Proficient in MS Office Software</li><li>Excellent Communication Skills</li><li>Handles confidential and sensitive documents professionally</li><li>Has an in-depth knowledge of office management and basic accounting procedures</li><li>Familiarity with basic research methods and reporting techniques</li><li>Excellent organizational and time management skills</li><li>Excellent negotiator</li><li>Integrity and Confidentiality</li></ul><p><br></p><p><strong>Qualifications</strong></p><ul><li>Bachelors degree in Business Administration or related field preferred.</li><li>At least two years of related experience required.</li></ul><p><br></p>
