Summary of the role:

 

As an Operations Support, your focus will be on ensuring the smooth and efficient delivery of translation projects and supporting other departments’ activities, such as Finance, HR, and Admin. You will work closely with project managers, linguists, and other team members to coordinate projects, ensure quality, and optimize workflows. Your work will play a critical role in the success of the operations team and the company as a whole.

 

Main Responsibilities:

 

  1. Project coordination: You will assist project managers in coordinating translation projects from start to finish. This will involve reviewing project requirements, preparing project files, coordinating with linguists, and tracking project progress.
  2. Quality control: You will be responsible for performing quality checks on translation projects to ensure accuracy, consistency, and adherence to client requirements. This may involve reviewing translations, conducting terminology research, and providing feedback to linguists.
  3. Vendor management: You will be responsible for managing relationships with linguists, vendors, and other external partners. This will involve onboarding new vendors, negotiating rates, and ensuring timely payment.
  4. Technology support: You will provide support to team members in using translation software and other technology tools. This may involve troubleshooting technical issues, providing training, and optimizing workflows.
  5. Reporting and analysis: You will be responsible for generating reports and analyzing project data to identify areas for improvement and optimize workflows. This may involve creating project reports, tracking KPIs, and presenting data to senior management.
  6. Customer service: You will provide exceptional customer service to clients, answering inquiries, resolving issues, and ensuring client satisfaction.
  7. Finance support: Assisting with bookkeeping and financial tasks such as invoicing, accounts payable, and accounts receivable.
  8. Admin Support: Scheduling appointments, liaising with staff and clients ordering and maintaining office supplies.
  9. HR support: Assist with day-to-day operations of the HR functions and duties, including new employees’ onboarding and offboarding, employees’ health insurance and visa issuing and processing, and assist in recruitment activities.   

 

Basic Qualifications:

 

  1. Minimum of 2 -3 years of proven work experience in a similar role.
  2. Bachelor’s degree in Finance, Business Management, HR, or a related field.
  3. Fluency in the English language.
  4. Strong Time Management Skills and the ability to meet deadlines.
  5. Highly organized and high level of communication skills.
  6. Strong Work Ethic and Excellent organizational skills.
  7. Professional in Multitasking.

 

Preferred Qualifications:

 

  1. Background in the Translation field is a huge plus.
  2. Attention to detail.
  3. A UAE driving license is preferred.
