Job Summary:
Our contracting business is seeking an experienced and organized Executive Assistant/Assistant Manager to provide high-level support to our senior management team. The ideal candidate will be responsible for managing administrative tasks, coordinating schedules, and ensuring the smooth day-to-day operation of the business. This individual will act as the point of contact between senior management and staff, clients, and other external partners. The Executive Assistant/Assistant Manager must have excellent communication, organizational, and time management skills to excel in this role.
Responsibilities:
Provide administrative support to the senior management team, including scheduling appointments, managing emails, preparing reports, and handling general inquiries.
Coordinate and manage the calendars of senior management team members, ensuring all appointments, meetings, and events are scheduled efficiently.
Act as a point of contact between senior management, staff, clients, and external partners, maintaining positive and professional relationships.
Assist with project management, including coordinating meetings, tracking project timelines, and ensuring deadlines are met.
Organize and maintain physical and digital records, including contracts, proposals, and other important documents.
Help with budget tracking, expense management, and invoice processing, ensuring accurate and timely payment of bills.
Assist in recruitment, onboarding, and training of new employees, including posting job ads, screening resumes, and scheduling interviews.
Help with marketing and social media activities, including creating content, scheduling posts, and tracking engagement metrics.
Handle ad-hoc requests and other duties as assigned by senior management.
Requirements:
- Bachelor’s degree in Engineering, Business Administration, Communications, or related field preferred.
- 3+ years of experience in an executive assistant or administrative role, preferably in the contracting or construction industry.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively. taking care of FINE & MICRO details.
- Excellent verbal and written communication skills, with the ability to interact professionally with a wide range of individuals.
- Proficient in Microsoft Office Suite and Google Suite, with experience in project management software preferred.
- Ability to work independently, with minimal supervision, and as part of a team.
- Strong problem-solving skills and ability to make decisions in a fast-paced environment.
- Positive attitude, with a willingness to take on new challenges and adapt to change.
- Proficiency in Arabic & English languages is must
- Previous experience on any ERP or CRM Systems is a plus.
