<ul><li>Job Purpose</li></ul><p>To manage an extremely active calendar of appointments; composing and preparing correspondence that is confidential and communicating with high-level personnel.</p><p><br></p><ul><li>Key Duties and Responsibilities</li></ul><p><br></p><p>1-Manage the Head of Division calendar and ensure the accurate scheduling of appointments.</p><p><br></p><p>2-Produce various documents (letters, memos, correspondence, agendas, notes and minutes of meetings) as requested by the Head of Division.</p><p><br></p><p>3-Edit and proofread memos and written correspondence to ensure correct grammar and spelling.</p><p><br></p><p>4-Arrange programs, events, or conferences as per the directions of the Head of Division including arranging for facilities, issuing information or invitations, coordinating speakers, and controlling event budget.</p><p><br></p><p>5-Transcribe dictation, and compose and prepare confidential correspondence, reports, and other complex documents.</p><p><br></p><p>6-Coordinate Head of Division meetings, record and distribute minutes of meetings.</p><p><br></p><p>7-Coordinate reception of Head of Division’s guests and recruitment candidates.</p><p><br></p><p>8-Provide information and documents for Head of Division’s meetings and coordinate for the attendance.</p><p><br></p><p>9-Travel with the Head of Division when required to handle all executive assistance tasks for the Head of Division while abroad.</p><p><br></p><p>10-Devising and maintaining office systems, including data management, filing… etc.</p><p><br></p><ul><li>Job Requirements</li></ul><p><br></p><p>1.Academic Qualifications</p><p>Diploma in Business Administration or related field (Bachelor’s Preferred).</p><p>2.Work Experience</p><ul><li>8 years of relevant experience.</li></ul><p>3.Other Requirements</p><ul><li>Written and Oral proficiency of English language.</li><li>Excellent communication skills</li><li>Able to work collaboratively</li></ul>
