Job Description

Responsibilities:



• Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff

• Perform PRO responsibilities with DMCC (license renewal, visa renewals, new visas, visa cancellations, etc.)

• Day-to-day office management and coordination (co-ordinate maintenance requirements and office cleaning, lease renewals) vendor accounts administration (DU, etc.)

• Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders 

• Develop and maintain a filing system 

• File and update contact information of employees, customers, suppliers and external partners

• Document expenses and hand in reports

• Make travel and accommodation arrangements

• Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

• Coordinate with building management company regarding work and delivery permits.

• Performs additional duties as assigned by Executive Director

Working hours

8:30am to 5:00pm Monday-Friday

8:30am to 1:00pm Saturday

Sundays off

Qualifications:

  • Great Personal Presentation
  • Microsoft Office literate – Especially Excel and Word
  • Excellent Communication Skills
  • Organizational skills
  • Very good language skills (fluent in English, Russian speakers will be prioritised)
  • Eye for detail
