<p><strong>&nbsp;Six-Month Contract to Hire</strong></p><p><em>Reporting to COP28 Project Manager</em></p><p>&nbsp;</p><p><strong>Job Purpose</strong></p><p>The responsibility of this role is to lead event operations, ensuring the successful delivery of all UICCA programming and event activity at COP28. This person may be required to provide leadership and coordination on other UICCA events, as needed.</p><p>&nbsp;</p><p>In this role, you will work closely with UICCA’s COP28 Project Manager and other teams, leading all event programming, design, and production operations before and during COP28. This is an end-to-end role starting from event organization, speaker coordination and marketing, to onsite setup and execution. </p><p>&nbsp;</p><p><strong>Key Responsibilities</strong></p><p><em>Planning &amp; Event Preparation:</em></p><ul><li>Serve as events lead and identify/manage all required resources.</li><li>Collect requirements by liaising with respective departments within the UICCA.</li><li>Develop and manage communications documents (calendars, reports, briefings, concept notes) and regular internal communications for relevant staff.</li><li>Create overall timelines for events.</li><li>Track progress and provide weekly reports and regular updates as necessary to COP28 Project Manager and Management Team on progress.</li><li>Manage logistics and coordination of organiser, vendor/supplier, and procurement functions.</li><li>Develop preparatory and logistical elements.</li><li>Facilitate preparation of events budget by Finance Manager.</li><li>Support the UICCA COP28 team to identify space requirements, design guidelines and structure and UNFCCC team related to content. </li><li>Identify and secure third-party equipment suppliers, contractors, and caterers required to support event delivery. Subsequent management of all logistics and supplier delivery.</li><li>Manage buildout of UICCA space at COP28’s physical site.</li></ul><p><br></p><p><em>Programming:</em></p><ul><li>Support COP28 Project Manager with development of the Content Programme </li><li>Lead all speaker invitations, RSVPs, preparation, and on-site logistics as well as potential event partners/sponsors.</li><li>Manage guest list and track RSVPs. Lead registration process and staffing arrangements required onsite to deliver a delightful experience.</li><li>Provide intel on other COP28 related events happening at Expo City and across the UAE to coordinate the overall team intervention and participation.</li></ul><p><br></p><p><em>Operations:</em></p><ul><li>Oversee the preparation, scheduling, and day to day management of UICCA events, Climate Weeks, and COP28.</li><li>Manage communication and coordination of event attendees/guests prior and during event.</li><li>Work with Marketing &amp; Communications teams to inform their development of the COP28 social media/marketing/comms plan. </li><li>Manage the on-site planning and activation with filming/photographers and social media stations. </li><li>Align and coordinate with protocol team and security to draw-up and evaluate plans for risk assessment. Support access arrangements for all reception guests and speakers.</li><li>Manage tear down of space and any post-event evaluations. </li></ul><p><br></p><p> <strong>Knowledge, Skills, and Abilities</strong></p><ul><li>Passion for sustainability and community building around People, Planet and Purpose.</li><li>Experience delivering demonstrably effective events, ideally conferences or program-driven events.</li><li>Experience managing and working effectively with event-related vendors. </li><li>Experience managing content-rich programme development and delivery.</li><li>Good knowledge of event management systems and procedures.</li><li>High levels of organization and project management.</li><li>Fluent in English. Arabic is a plus.</li><li>Overall interest and prior trainings and/or experience in the sustainability and climate field (whether in an academic institution, well read articles/news in the sustainability field, online certifications) is a plus.</li><li>Personal Qualities: Efficient, Sense of Urgency, Positive Attitude, Proactive, <em>Grace under Fire </em>Crisis Management.</li><li>Undergraduate degree (preferably a degree or modules completed in the communication, business management, marketing field) is a plus.</li></ul><p>&nbsp;</p><p><br></p>
