<strong><u>Responsibilities</u></strong><p><br></p><ul><li> Support the FM operational and inspection teams with their day to day administration requirements. Support the contracts, commercial, and CAFM team with any administration </li><li> Support HR in administering work visas and associated admin duties and any requirements they may have from time to time. </li><li> Attend meetings, document MOM, and ensure the MOM is issued on time. </li><li> Maintain confidentiality in all aspects of client and staff information. </li><li> Interact with staff, clients, suppliers, and visitors. </li><li> Open, sort, and distribute incoming correspondence, including couriers and email. </li><li> Issue responses to correspondence containing routine inquiries. </li><li> Perform general clerical duties to include, but not limited to, copying, mailing, laminating, and filling. </li><li> Prepare and collate all documentation for the monthly payroll of all on-site staff. </li><li> Provide support to the FM in maintaining training matrices/records and back-to-work/self-certification documentation. </li><li> Manual follow-up with the client’s internal team and service providers to get an expected schedule for all pending documents. </li><li> Gathering information for implementing the new project. </li><li> Collecting inputs from clients and recording/distribution as necessary. </li><li> Listing out the documents and documenting the project details. </li><li> Describing all possible document flow structures in the DC application. </li><li> Submission of documents and creating transmittal through the Document Control System. </li><li> Describing and creating the acknowledgment letters for the clients through the Document Control System. </li><li> Informs themselves of the relevant Quality, Environmental, Safety, and Occupational Health Policies, Manuals, and Procedures in place within Hill International, and ensures continued compliance with these requirements while employed by Hill. </li><li> Perform other duties as assigned by the line manager/supervisor. </li></ul><p><br></p><strong><u>Qualifications</u></strong><p><br></p><ul><li> Holds a Bachelor’s Degree ideally in Engineering discipline or Business Administration </li><li> Minimum of five years experience in a Document Controller role. </li><li> Knowledge of administrative, clerical, and customer service principles and practices. </li><li> Knowledge of administrative and clerical procedures and systems such as MS Word, Excel, and Outlook. </li><li> Excellent communication and organizational skills. </li><li> Excellent written and spoken English skills.
